The Complete Car Maintenance Log Guide (and How to Keep One for Free)
6 min read
A maintenance log is worth more than most owners realize — until the day a warranty claim, a resale negotiation, or a mechanic's question depends on it. Here's what to record, and how to make it effortless.
Why bother keeping a maintenance log
A maintenance log is the paper trail that proves your car was looked after — which garage, which date, at what mileage. It matters more than most owners realize: it protects your manufacturer warranty (many require proof of scheduled servicing), it's the single biggest lever on resale price, and it turns a vague memory ("I think I changed the oil last spring?") into a fact you can check in five seconds.
It also pays off day to day. A logged history is how reminders actually work — you can't get warned that your timing belt is due if nothing recorded when it was last replaced.
What to record for every service
Keep it simple but consistent. For each entry, note: the date, the mileage, what was done (oil change, brakes, tires, inspection...), the price, and where it was done. For anything document-heavy — an invoice, a photo of the odometer — keeping the file attached to the entry saves you from digging through a shoebox later.
Some services deserve extra detail. An oil change is worth recording with the filters changed alongside it (oil, air, cabin) and the oil viscosity used — useful when a mechanic asks "what's currently in there?" A tire change is worth recording with the tire type, size, and brand, since that's exactly what you'll need to quote again next time.
Paper, spreadsheet, or app?
A paper logbook is what came with the car, and it works until it's lost, or until a receipt gets misplaced between two services. A spreadsheet fixes the durability problem but not the friction — nobody opens a spreadsheet on their phone in a garage parking lot to jot down today's mileage.
A dedicated app closes both gaps: it's on your phone when you need it, it syncs so a lost phone doesn't mean a lost history, and — done right — it reminds you before something is due instead of after.
How Maintaina does it
Maintaina is a maintenance log built around exactly the fields above: date, mileage, type, price, and the extra detail for oil changes and tires. It computes reminders from what you've actually logged (by date or by mileage), and keeps history for one vehicle completely free — no time limit, no feature gate on the core log.
Already have a history somewhere else — a spreadsheet, a paper logbook, another app's export? You don't have to retype it one line at a time: Maintaina's batch import (Premium) lets you upload a CSV or Excel file and creates every entry in one pass, including the oil/tire detail fields.
